Trade Show Display Spares: Match Parts to Each Kit Revision

Plan display spares with identified kit and part revisions, scoped replacement review, dispatch and return records, and confirmed replenishment terms.

Plan trade show display spares around identified kits and the parts approved for each revision. A useful record connects the component list, replacement review, dispatch and return checks, and the next replenishment request. It helps rental teams, event agencies and display distributors know which parts can be allocated to a kit and which questions still need an answer.

Begin with the equipment you have or the configuration being offered. Ask BrandMate to confirm the available component information, replacement options and ordering terms for that specific configuration. The planning method below does not assume that every part is replaceable or available separately.

Identify each kit and the parts it may need

Give each kit a usable identifier and connect it to the model, assembly drawing or component-list revision. Record the actual size and configuration where they distinguish variants. Similar outside dimensions or a shared graphic do not identify the internal frame or its connections.

Request an illustrated supplied-parts list or bill of materials with part references, descriptions, quantities and counting units. Ask which items may be replaced, which are supplied as assemblies, and which require a service decision. Where detailed manufacturing drawings are unavailable, request enough controlled information to identify the offered replacement and its intended kit; keep the unanswered identification question visible.

Keep parts fitted in a complete kit separate from extra stock. Identify what a quoted bag, pair or set contains before assigning a quantity. Record graphics by the approved template, attachment and artwork revision; their campaign replacement requirement is separate from mechanical spare demand. Include a bag, case or separator only where it belongs to the actual kit and has an identified replacement scope.

Approve the proposed replacement against the exact revision

Connect each proposed spare to the kit and part it is intended to replace. Retain the old and proposed references, relevant drawings or labelled views, and the written compatibility scope supplied for review. A photograph or matching outline can help identify a question; it does not settle interchangeability.

Agree an appropriate review with the responsible product or technical reviewer, using the actual instructions and an identified representative kit. Confirm who may perform the work, the permitted sequence and the conditions to record. Any structural, powered or otherwise restricted work belongs with appropriately qualified personnel under the applicable instructions.

For an agreed fit review, record the kit revision, proposed part reference, instruction reference, observed fit and the affected functional checks. If the part differs from the specification, resists the instructed assembly or leaves an unresolved condition, stop that review and ask for an identified correction. Obtain the corrected part or method and repeat the affected checks before treating it as an approved replacement.

Complete a review for the named kit and proposed replacement
Record itemIdentify before reviewEvidence to retainDecision to record
Target kitKit ID, model or assembly reference and applicable revision.Matching component list and labelled views or drawing. The intended kit is identified; other variants remain separate.
Proposed replacementOriginal and proposed part references, description and quantity/unit.Offered replacement details and the stated compatibility scope.Identification is resolved, or the missing information remains pending.
Permitted workWho may replace the item, instruction reference and required review conditions.Applicable instructions and responsible reviewer assignment.Proceed within the agreed method, or refer an unsupported task.
Observed fit and functionActual kit/part revisions, agreed observations and relevant checks.Dated observations, located photographs and any correction/recheck.Accept for the recorded scope, request correction, or keep the issue open.
Stock allocationApproved kit/revision scope, quantity and storage reference.Named approval and the references supporting it.Allocate only to the identified scope; keep unconfirmed items separate.

Record the limits of the decision. An observed fit on one identified kit does not establish a load rating, service life or compatibility with every generation. Retain an appropriate reference part, kit or controlled record for comparison where agreed; availability of a reference does not replace the technical review.

Plan stock from the interruption and the available evidence

Ask the responsible team what happens when an identified part is missing, damaged or awaiting assessment. Distinguish an assembly-stopping item from a part that can wait under an approved plan; do not assign a cosmetic or structural role from appearance alone. Record where the kit will be used and how much time is available for an approved replacement to reach it.

Use actual return records to distinguish loss, damage, wear and unidentified substitutions. Keep the period and kit revisions with those observations rather than calling every shortage a failure. Where history is absent, label the stock plan provisional, state the assumptions and review them as real returns accumulate.

Compare site-held stock with a shared store using the actual event sequence, responsible staff, storage and current replenishment information. Ask for the applicable part-ordering constraints, price and dispatch and transport arrangements. A quoted dispatch date and an expected arrival are separate inputs. Agree quantities for this plan without presenting a fixed spare percentage or a standard BrandMate replenishment time.

Use one record from dispatch through return

Start dispatch and return checks from the same kit revision and parts list. Assign a responsible person for each handover and record the date, location, quantity/unit and visible condition. Keep the kit’s fitted parts and separately issued spare bag distinguishable so the next crew can reconcile what was actually handed over.

On return, compare the contents with that dispatch record. Locate a missing or damaged item by part reference and kit ID, retain relevant photographs and assign the next action. Keep an unconfirmed, damaged or mismatched item outside the stock considered available for the next allocation until the responsible reviewer records its disposition.

Record actual quantities and decisions at each handover
StageRecord for the identified kit or partDisposition and next action
DispatchKit/parts-list revision, issued contents, any separate spares, quantities/units, condition and recipient.Reconcile the issued list before release; retain an open shortage or review item.
ReturnActual returned contents and quantities, visible condition and differences from dispatch.Name each discrepancy and its owner; do not count an unresolved item as available stock.
AssessmentAffected part/kit, observations, permitted review and any approved correction or replacement.Record the reviewed allocation scope, hold or other disposition and supporting reference.
Replenishment requestRequired approved reference, quantity/unit, reason, destination and requested arrival window.Confirm the actual offer and unresolved supply or compatibility questions before ordering.
Receipt and reallocationReceived reference/revision, quantity/unit, condition and relevant approval record.Reconcile against the accepted order; review a changed or uncertain item before making it available.

Use labels and compartments that connect the physical part to the record. Retain the packing map and protect the graphics from loose hardware under the agreed packing instructions. If a reference cannot be read or a part cannot be identified, resolve that question rather than placing it into a mixed bin by appearance.

Confirm replenishment and control substitutions

Send the approved kit and part references with each replenishment request. Ask whether the identified item is currently offered, whether it is supplied individually or as an assembly, and what quantity, price, packing and delivery terms apply. Keep a requested item, an offered item and an accepted order distinct; an enquiry does not establish stock availability.

When a proposed replacement changes, record the old and new references and ask what interfaces, instructions or checks are affected. Keep the prior approval limited to its recorded scope until the responsible reviewer accepts the change and any necessary recheck. If the proposed item is unavailable or cannot be confirmed for the kit, retain that unresolved status and request a configuration-specific alternative.

At receipt, compare labels, quantities and accessible condition with the accepted order before updating usable stock. Keep the received quantity separate from items awaiting review or already allocated. Retain the acceptance and return history for the relevant revision so later quantities can be based on the actual record.

Send BrandMate the kit references and open questions

Share the model or display format, kit quantity and revisions, available part references or labelled photographs, and the items you need identified or replaced. Add the event sequence, destination, requested arrival window and existing instructions where available. Ask for the proposed replacement scope, supporting compatibility information and current ordering terms.

Explore the BrandMate pop-up display range, discuss the review records through Quality Control, and coordinate the identified packing and receiving requirements through Warehouse & Logistics. Availability, documentation and commercial arrangements need confirmation for the actual project.
