LED Light Box Delivery Documents: Match the Model and Revision

A delivery-stage light-box documentation guide: match equipment, labels and drawing revisions, close discrepancies and retain a usable installer and repeat-order handover file.

At delivery, a useful light-box documentation file connects the equipment received to the drawing, electrical information and configuration approved for the order. This guide helps retail rollout buyers, distributors and installation coordinators make that connection before handing the units to the site team. Use the receiving register and discrepancy record to keep each delivered configuration tied to the documents released for its installation.

Start with the approved configuration, then identify what arrived

Keep the accepted drawing, sample approval record, quotation scope and packing list together. Use the same project or item reference across them. If the shipment contains several cabinet sizes, finishes or graphic versions, make a separate line for each configuration; one general product name will not distinguish a shop-front unit from a different indoor assembly.

On receiving the shipment, compare the external carton identification and accessible product label with the order reference. Photograph labels that are visible without opening the electrical enclosure. If identification requires enclosure access, arrange a qualified person and the applicable safe-isolation procedure before access; a switch in the off position alone is not a safety check. Have an appropriately qualified person handle moving an installed unit.

Use a model-by-model receiving register

The following table is a buyer’s record template, not a statement of BrandMate test values or supplied certifications. Fill it with the actual documents agreed for the project and retain the evidence file reference beside the result.

Record the actual delivered configuration and the evidence that identifies it
Field to match Compare these records Practical approval action
Cabinet model and variant Order item, assembly drawing and accessible product label Resolve a different suffix or variant in writing; retain the mapping to the delivered assembly.
Drawing revision Accepted sample record, released drawing and handover file Identify the drawing that applies to the delivered units rather than an earlier sample.
Electrical information Supplied assembly information, accessible nameplate and the destination specification Ask the installation lead to review the actual input requirements; do not infer them from the graphic or cabinet size.
Component identification Agreed parts record and replacement-part information Record the exact driver or control reference where it is part of the handover scope.
Document scope Document title, covered model, assembly or component description Keep component evidence and finished-assembly evidence clearly distinguished; have the relevant reviewer confirm applicability.
Document identity and verification Issuer, report or file reference, issued revision and the exact model or variant covered Where certification evidence is required, retain the issuing body’s verification path and a dated review result. An unavailable or inconclusive lookup remains open for clarification.
Quantity and destination Packing list, carton references and store allocation Match the correct configuration and document pack to each site.
Serial or batch reference Actual labels and agreed traceability record Use the identification that exists on this shipment; do not invent a serial-number system.

Build a handover file that the installer can use

Agree the required handover contents before the order is released. A project may need an assembly drawing, installation instructions, accessible label photographs, electrical information, a packing list, replacement-part references and the evidence required for the destination. The importer and installation lead should confirm which documents apply to the actual product and market.

Name the files consistently: project reference, configuration and revision. Keep the approved source files and a read-only issued set. A short index should state what each document covers and who accepted it. This makes a later graphic reorder or service request traceable without asking store staff to reconstruct the original purchase.

For practical product approval, use BrandMate’s light-box sample approval checklist alongside the quality-control page. Record checks as completed only when the corresponding evidence exists.

Record substitutions and configuration changes

A changed driver, cable exit, controller, mounting arrangement or cabinet construction can affect which drawing, service instruction and supporting evidence apply. Ask for a dated change record identifying the original reference, replacement reference, affected units and review outcome. The significance of the change should be assessed by the manufacturer and relevant qualified reviewers, not assumed from a similar-looking part.

Separate a replacement graphic from a change to an electrical or structural assembly. Confirm the applicable artwork template and service instructions for the actual replacement. Keep the reason for any approved substitution with the receiving register, so the next reorder does not accidentally return to an obsolete configuration.

Close document discrepancies before installation handover

Link each mismatch to evidence, an owner and a documented release decision
Observed discrepancy Useful evidence to send What closes the issue
Model suffix differs A clear accessible label photo and the corresponding order and drawing references A traceable model/variant explanation and corrected applicable documents, reviewed before release to the installer.
Earlier drawing supplied The accepted revision and the revision received with the shipment An issued drawing that matches the delivered assembly, plus a clear revision history.
Driver reference changed The agreed component record and safely obtained identification of the delivered component A documented substitution review, updated service references and applicable supporting evidence.
One document used for several variants A configuration list identifying sizes, components and mounting arrangements A model-to-document scope matrix, with any uncovered configuration resolved separately.
Cartons assigned to the wrong store Carton references, packing list and store allocation sheet A corrected allocation and the appropriate drawing, graphic and handover pack for each site.

For each open item, record the affected quantity or carton references, the person responsible for clarification, the evidence still needed and the agreed release condition. Keep the warehouse receiving record separate from the installation release record, so receipt of the cartons is not mistaken for approval of the configuration.

Retain the original label photographs and issued files while a discrepancy is reviewed. Add the corrected document and its approval reference to the record; do not alter the evidence to conceal the difference. Tell each affected site which issued set applies before releasing its units for installation.

Make repeat orders and multi-store delivery traceable

For a multi-store order, put the configuration reference on the allocation sheet and include the corresponding document pack in the handover. If two stores receive similar-looking cabinets with different graphics or mounting requirements, distinguish them by the actual issued references, not by a staff member’s recollection.

For a repeat order, send the accepted configuration, drawing revision, installed-location information and any agreed changes. Ask which references remain current for the new quotation. Review the warehouse and logistics page when preparing carton identification and delivery allocations.

Questions buyers ask at delivery

Does a component document identify the whole sign?

Its stated scope determines what it covers. Keep a driver or adapter reference separate from the finished assembly record, and ask the relevant reviewer to confirm which evidence applies to the delivered sign and destination.

What if a product label uses a different model reference?

Send the accessible label photo and approved drawing reference to BrandMate. Request a traceable explanation and the applicable issued documents. Similar appearance is not a model-mapping record.

Can a store employee check the file?

Staff can compare packing references, file revisions and visible labels. Electrical inspection, enclosure access and installation approval belong with appropriately qualified personnel and the agreed project responsibilities.

Should a repeat purchase use the original paperwork?

Use it as the starting reference, then confirm whether the configuration, components, instructions and supporting evidence remain applicable to the new units. Record agreed changes rather than assuming every reorder is identical.

Request a project-specific documentation handover

Email [email protected] or discuss the project on WhatsApp with the intended light-box configuration, destination, installation method and documents your project requires. For an existing delivery query, include the order reference, accessible label photo and drawing revision. Send these references so BrandMate can review the configuration and the handover required for your project.

Discuss your display requirements with BrandMate

Tell BrandMate about the display and where it will be used. Share drawings and detailed specifications during the project discussion.
